Run volunteer jobs: events, slots and signups

Step by step

Create the event

  1. Open Jobs and click New job event.
  2. Use the Start from card before anything else. Pick the meet or calendar event this is for and Commit prefills the details and creates a time slot per meet session. Pick a past event under Clone jobs from and its jobs, credits, capacities, and rules come along. As the screen says, everything stays editable and nothing is synced afterwards.
  3. Fill in the Setup tab: name, dates, a description families will see, plus Documents, Links, and Custom signup questions (“Do you have a stopwatch?”).

Build the grid

  1. Add your jobs (Timer, Concessions, Set-up) and time slots.
  2. Each cell is one job in one time slot. Open its Slot settings to set Credits, Signup slots (capacity), a note, or Closed to signups.
  3. Use Apply to row or Apply to column to set a whole job or a whole time slot at once. Only the fields you fill in are applied.

Set the signup rules

  1. Signups open and Signup deadline control the window.
  2. Max signups per member and Max per member per time slot stop one eager parent from taking everything.
  3. Require a phone number to sign up so the meet director can reach a missing timer.
  4. Allow signing up people without an account (grandparents, friends) lets families add write-ins themselves.
  5. Under Counts toward obligations, check which obligations this event’s credits feed.

Publish and run it

  1. Publish. Drafts are invisible to families; published events show up in their app and on their dashboards.
  2. Watch the Signups views: Grid, By job, or By person, with Export to spreadsheet or PDF.
  3. Add signup places someone yourself: a Team member (parent, swimmer, or staff), or Someone else (write-in) with a name and Credit goes to the family of so the right family earns the credit.
  4. The Activity log records every signup, removal, and change, and you can add your own notes (“Still need 3 timers for Saturday”).

Common questions

How do I reuse last meet’s jobs for this meet? Two ways. New job event, attach the new meet, and pick the old event under Clone jobs from: the jobs map onto the new meet’s time slots in order. Or Duplicate in the event’s menu, which copies everything with the same dates for you to edit. Signups are never copied.

How do I connect an event to a meet after creating it? The event menu has Link to meet/event…. A job event links to one meet or one calendar event. Once linked, the meet’s Jobs view shows slots filled, which committed families haven’t signed up, and a Message not signed up button that drafts the nudge for you.

Can I make a change while signups are live? Adding is fine: new jobs, new time slots, more capacity. Removing structure or changing times and credits asks you to unpublish first, because it changes what families already signed up for.

What happens if I remove a slot people signed up for? Commit warns you, names the count, and cancels those signups if you confirm.

A slot is full but I need one more person. Raise Signup slots on that cell. You can also close a cell to stop signups without removing it.

Who on staff can run jobs? The Jobs permission (None, View, Edit) controls managing events. Billing shortfalls needs the Finances permission. Anyone on the team can sign up regardless.
