Pause, move or cancel an enrollment

Coaches · Payments Injury holds, mid-season group moves with prorated billing, and clean cancellations with the right refund.

Pause billing (injury, long vacation)

  1. Open the registrant’s row menu and choose Pause payment collection.
  2. Set the Resume date. Every invoice until that date is voided, and billing starts again on its own when the date arrives.
  3. The row shows Paused until [date]. Resume payment collection ends the hold early. Both work in bulk on selected rows.

There’s no “skip one month” button; a pause with a one-month resume date is exactly that.

Move a swimmer to another group or plan

  1. Row menu → Update registration. Pick the new program, registration group, or payment type under “Change to”.
  2. Choose the billing behavior:
    • Start next billing period: current billing runs to the end of the period, the new plan starts at the next cycle. The clean default.
    • Start now (prorated): unused time on the current group is credited back and the remaining time on the new group is charged. The summary shows the actual credit before you save.
  3. You can also reset the billing cycle, pick invoicing method, add a coupon, or move the swimmer’s linked training group in the same modal.
  4. Save changes.

Cancel

  1. Row menu → Remove from program (also drops the swimmer from the list) or Cancel billing (keeps them, stops the money).
  2. Pick when: End of the current period (default; the family gets what they paid for, remaining installments are dropped) or Immediately.
  3. Canceling immediately unlocks the refund choice: No refund, Last payment, or Prorated amount for unused time.
  4. Any scheduled draft invoices for that swimmer are removed too.

Common questions

A family quit and wants the rest of the season refunded. Cancel Immediately with Prorated amount. The app computes the unused-time number so you’re not doing calendar math.

Can I pause a plan that hasn’t started billing? Not until its first charge runs. Before that, cancel it or leave it; there’s nothing to pause.

Does changing the group price affect current families? No. Price edits apply to new enrollments only. To reprice an existing family, use Update registration and restart their plan on the new option.

We charge a fee to families who quit early. Cancel at period end (no refund arises), or cancel immediately with no refund and invoice the fee separately.

Who can do this? All of it needs the Finances permission set to Edit.
