Where duplicates come from
Almost always registration: a family re-registers a swimmer instead of logging in, misspells a name, or enters a slightly different birthdate. You end up with two profiles: one carrying the times, one carrying the new enrollment.
Step by step
- Find both profiles on People → Roster (search by last name; watch for birthdate or spelling differences).
- Select the duplicates. The merge tool takes two to four profiles of the same swimmer.
- Click More actions → Merge Athletes and pick the correct profile. The Merged Profile Preview shows what survives: the winner’s values win wherever both have one, and the other profile only fills in blanks. Pick the profile with the right name, birthdate, and USAS ID as the winner.
- Confirm the merge. As the dialog says, results, best times, workouts, attendance history, tags, parents, and groups all combine into the merged swimmer, and billing history follows too. Merging is not reversible, so read the preview carefully.
- Then check the family’s billing: if each duplicate had its own customer account, one of them is now an empty shell. Fix it under Payments → Customers. See swimmers on multiple customer accounts.

Common questions
One duplicate is on a different team of my account. Merge works within a team’s roster. If the profiles live on different teams, contact team@commitswimming.com and we’ll combine them for you.
The family also sees two billing accounts. That’s the customer-side twin of this problem. After merging the swimmers, consolidate the customers per customers and billing accounts.
Will USA Swimming data follow? Keep the profile with the correct USAS ID as the survivor and re-sync from Settings → Integrations afterwards.
