Before you start
- You need the Finances permission to open financial reports.
- The report shows money that moved through Stripe: card and bank payments, refunds, fees, and payouts. Invoices you marked as paid (cash or check) and voided invoices aren’t in it.
- A report is a snapshot of the moment you generated it. If something changes later (a refund, a credit, a fixed category), generate a new report for the same dates.
Step by step
Generate a report
- Open Reports. Under Financial, click Detailed Invoice Breakdown.
- Click New Report. In Transactions Report, enter a Report Name and a Date range, then click Generate.
- Click Got it. Wider date ranges take longer. The report shows in the list when it’s ready.
- Click the report to open it. Each report’s ⋮ menu also has Edit name and Archive. View archives lists archived reports, where you can Restore or Delete them.
Invoices tab
- The line under the filters shows how many line items you’re looking at and their Total. It updates as you filter.
- Use the Category chip to choose which categories to include (Network fees start unselected), and the search icon to narrow to a family, program, or meet.
- Detail shows one row per invoice line: customer, invoice number, dates, amount, category, payment method, and more. Use Columns to pick columns and Export for a spreadsheet of what’s on screen.
- Summary adds it all up. Pick Group by: Category, Program / meet, Customer, Payment method, or Month (and Team when the report covers more than one team). Each row shows its Line items and Total. Export summary downloads it as a spreadsheet.
Payouts tab
-
The table at the top totals each kind of transaction, like Charges and Payouts, with the count in brackets and the Amount, Fee, and Net for each.
-
Below it, one row per transaction with its Transaction Type (charge, refund, or payout), Available on date, Fee, and Net. Match Available on dates to your payout dates when you reconcile.
Bank deposits tab
- The top shows All deposits with their count and total, and a breakdown of everything in them. Pick Group by Category (or Team for multi-team reports). Export deposits downloads a spreadsheet.
- Each deposit is listed by the date it reached your bank, with the bank and amount. Deposits still on their way say In transit.
- Click Breakdown on a deposit to see its total by category, down to the penny. Click Show transactions to list each customer, description, category, and amount inside it.
The Commit app has the same report under More → Reports → Detailed Invoice Breakdown, with the Invoices, Payouts, and Bank deposits tabs. For exports and wide grids, a computer is easier.
Reading the bank deposits
- Unmatched: sometimes what Stripe paid out for a transaction differs from its invoice lines. That difference shows as Unmatched, so every deposit still adds up exactly.
- Manual payouts: a payout started by hand in Stripe can’t be itemized. It shows a Manual payout — can’t be itemized tag and isn’t in the breakdown, and a note above the list gives their count and total.
- Older reports: a report generated before bank deposit breakdowns existed says so on this tab. Generate a new report for the same dates to see them.
- No deposits: if no deposit arrived in your date range, the tab says so. Widen the dates.
Common questions
Where do the categories come from? From the payment category on each charge. Set them up and change them as described in Payment categories. Older reports can show Processing fees, the old name for service fees.
My payout doesn’t match the charges. A charge from before your date range (like a late payment that finally went through) can land in a payout inside it. Run the report for a wider range, or check the Bank deposits tab, which lists exactly what each deposit held. Still stuck? Email team@commitswimming.com.
Can I bring this into my accounting software? Yes. Export, Export summary, and Export deposits all download spreadsheet files most accounting tools accept.
Do my filters save? No. If you close the report, set the filters again.
