Meet result files (.zip, .cl2, .sd3) are always the better option. If you still have them, send those instead — see Onboarding: send your results history. These Top Times exports are how we rebuild your history when the original meet files are gone.
What we need and why
Each report sees your history differently, and we need all three to reconstruct it accurately:
- Top Times By Athletes is the bulk of it — every swim, swimmer by swimmer, with the ID and birthdate we match against your roster. What it can’t tell us is which club a swim was for, and it leaves out anyone who has since transferred away.
- Top Times By Events — Individuals ONLY is scoped to your team, so it fills both of those gaps: it keeps departed athletes’ swims for your club, and it’s what we check the import against so times a swimmer earned at another club don’t end up on your record boards.
- Top Times By Events — Relays ONLY is the only place relay swims appear at all. Skip it and your relay records come over empty.
Run every one of them once per course. Most clubs swim short course yards and long course meters, so that’s two of each. If you also have short course meters results, add a third file for each report.
Step 1 — Open Time Reports
From the left menu, go to Events & Competition, then under Results & Reports click Time Reports.
Step 2 — Top Times By Events, individuals
Click Top Times By Events.
Set the report up like this:
- Meet Filter — Meet Name:
--ALL--. Course: pick one course. You will come back and repeat this for each course you swim. - Member Filter — leave everything on
--ALL--. Status is the one that matters: it defaults to Active, and you have to change it to--ALL--or you lose every swim from an athlete who has left the team. - Meet Event Filter — Event: Individuals ONLY. P/F: Best of
Prelims/Finals/Trial. Stroke:
--ALL--. - Display Options — Show Top:
0(it defaults to1; zero means every result, not just the best one). Check Show ID# and Show Birthdate. Leave Show At Most One Athlete per Event unchecked. Include Splits: Cumulative (Running) — it defaults to no splits. - Age Groups — Use Team Defined Age Groups (Recommended) is fine.
Click Report Now!
The report builds on screen. At the top of it, click Save as XLS and keep the file. Then change the Course and run it again, once per course.
Show Top is the setting clubs miss most often. Left at
1, the export only carries one swim per event and the rest of your history never arrives.
Step 3 — Top Times By Events, relays
Go back to the same Top Times By Events report and change one thing: set Event to Relays ONLY. Everything else stays as it was.
Click Report Now!, then Save as XLS. Run it once per course, the same as the individual export.
Step 4 — Top Times By Athletes
Back on the Time Reports page, click Top Times By Athletes.
Set it up the same way:
- Course: one course per file.
- Status:
--ALL--again. - Event: Individuals ONLY. P/F: Best of Prelims/Finals/Trial.
Stroke:
--ALL--. - Check Show ID# and Show Birthdate. Include Splits: Cumulative
(Running). Show Top:
0. - Output Format: HTML: On-Screen — not PDF. PDF gives you no Excel file to save.
Click Report Now!, then Save as XLS on the report that appears.
Step 5 — Send them to us
Upload everything on the Results card of your onboarding page. Count your files before you send:

Name them so the course is obvious (SCY-individual.xls,
LCM-relays.xls) and we’ll take it from there. We load them, match each
swim to your roster, and your swimmers’ profiles open with their best
times and history already in place.
Common questions
How far back does this go? As far as SportsEngine holds. Show Top
set to 0 is what makes it every swim rather than a top-10 list, and
Status set to --ALL-- is what keeps athletes who have left the team
in the export.
We only swim short course. Then you send three files instead of six. Run each report once, for SCY.
The report takes a long time to build. That’s normal for a club with years of history. Leave the tab open and let it finish.
Can we send these and the meet files? Yes, and it’s the best case. Send both and we reconcile them.
