Meet billing: invoice entry fees

Last updated 2026-08-28
Coaches · Meets Set meet fees, generate invoices from entries, and track who's paid in the meet's Billing section.

Step by step

  1. Set the fees first, in the meet’s Information & Settings under Billing Settings: price per individual event, per relay event, an athlete surcharge, and a facility surcharge. Each event can also carry its own price in the Events table.
  2. When entries are final, open Billing. Each swimmer’s row shows # Events, # Relays, Team fees, and the Total Amount (with ”+ fees” when you pass processing fees on to families).
  3. Click Generate Draft Invoice on a row, or tick the checkboxes to work through several at once. From there they behave like any invoice: send, charge, void, or mark as paid.
  4. Watch the Invoice Status column to see who’s paid, and use Export CSV in the top right for a spreadsheet.

Common questions

When should I bill? After entries close and you’ve tidied scratches. Voiding and re-issuing works, but billing once is cleaner.

Do meet fees roll into the monthly invoice? With roll-up billing on, meet fees can queue for the cycle invoice. Direct meet invoices are the default; pick what fits your team.

A family scratched after paying. Refund the difference from the paid invoice. See refunds.
