Step by step
- Set the fees first, in the meet’s Information & Settings under Billing Settings: price per individual event, per relay event, an athlete surcharge, and a facility surcharge. Each event can also carry its own price in the Events table.
- When entries are final, open Billing. Each swimmer’s row shows # Events, # Relays, Team fees, and the Total Amount (with ”+ fees” when you pass processing fees on to families).
- Click Generate Draft Invoice on a row, or tick the checkboxes to work through several at once. From there they behave like any invoice: send, charge, void, or mark as paid.
- Watch the Invoice Status column to see who’s paid, and use Export CSV in the top right for a spreadsheet.
The meet’s Billing section is in the app too: tap the meet in your Events tab, then Billing, for checking who’s paid from the pool deck.
Common questions
When should I bill? After entries close and you’ve tidied scratches. Voiding and re-issuing works, but billing once is cleaner.
Do meet fees roll into the monthly invoice? With roll-up billing on, meet fees can queue for the cycle invoice. Direct meet invoices are the default; pick what fits your team.
A family scratched after paying. Refund the difference from the paid invoice. See refunds.
