Before you start
- You need the Finances permission set to Edit.
- Billing shows on athlete registrations you’ve submitted. A draft registration, or one for non-athletes, has no Billing view.
- Payments need to be set up in Commit. See Set up payments: connect Stripe.
Step by step
Set your prices once
-
Go to Settings → Integrations (the card is on your dashboard too) and find SWIMS 3.0 Connection.
-
Click the gear (Billing settings). USA Swimming billing opens.
-
Each membership type shows the national USA Swimming fee, like Premium Athlete $70, Flex Athlete $20, Individual Season Athlete $40 and Outreach Athlete $5. Type what your club charges next to each one, and add your LSC fee if you collect it.
-
Category: starts on Registration fees. Pick another payment category if you like.
-
Click Save. Reset to USA Swimming fees puts the national fees back.
Only the prices you change are saved, so the ones you leave alone follow USA Swimming when its fees change.
Bill a registration
- On the SWIMS 3.0 Connection card, click Manage registrations and open a submitted registration.
- Switch from Registrations to Billing.
- Click Generate drafts. Siblings share one family row, with a line for each swimmer. A swimmer with no family billing account is skipped and named (“No billing account, skipped: …”). Running it again only adds swimmers who aren’t on a charge.
- To change a family’s charge, open its ⋯ menu and click Edit charges. Change an amount, click Add line (an LSC fee, say), or remove a line, then Save. Remove deletes a draft you don’t want.
- When the drafts look right, choose Create draft from a family’s
⋯ menu, or tick several families and click Create drafts in the
bar above the list. Generate draft invoice asks how to bill:
- Add to their next bill (recommended) adds it to each family’s next roll-up bill. This shows when your team uses roll-up invoices.
- Send a separate invoice now (or Invoice now) makes a draft invoice for each family to charge or send when you’re ready.
- From there, each family row has the usual invoice actions: Charge invoice, Send invoice, Add invoice items, Mark as paid, View invoice, Void invoice and more. Select families with the same status to act on them together.
If USA Swimming hasn’t marked the registration Processed, Commit asks first (Not processed yet), because families could pay for memberships USA Swimming never activates. Click Bill anyway only when you’re sure.
The Commit app has the same Billing view, prices and warning. Find the SWIMS 3.0 Connection card on your dashboard or under Settings → Integrations, then follow the web steps. View invoice opens in your phone’s browser.
Common questions
Where do the charges show on our financial report? Under the category you picked in USA Swimming billing (Registration fees unless you changed it).
A swimmer was skipped. They have no family billing account. Add a parent to the swimmer on their roster page, then click Generate drafts again. A family that was already invoiced gets a second, separate draft for the new swimmer.
Can I undo a draft invoice? Yes. Delete invoice on the family’s row turns it back into an editable draft. Once a family pays, refund it like any other invoice. See Refunds, disputes and failed payments.
Do families register for USA Swimming in Commit? No. You submit the registration, or families register on USA Swimming’s site through your club’s link. See Connect to USA Swimming (SWIMS 3.0).
