Set up a new swimmer

Coaches · People Add a swimmer by hand, then use the setup checklist to link parents, billing and groups and send the family a welcome email.

Step by step

Add the swimmer

  1. Open People → Roster and click New Swimmer.
  2. Fill in First name, Last name, Birth date and Competition category. Preferred name, Middle name and USA Swimming ID are optional. Teams outside USA Swimming see Swimmer ID instead.
  3. Click Add swimmer.

Commit checks for the swimmer before it makes a new profile:

  • Same name and birth date (or USA Swimming ID) as someone on your roster: you’ll see “Ava Smith is already on your roster.” If they were Inactive or Archived, you’ll see “Ava Smith was already on your roster and is active again.”
  • Someone on another team, with the exact same name, birth date and USA Swimming ID: “Found Ava Smith in Commit by their swimmer ID and added them to your roster.”

A match keeps what’s already on file. The form only fills in blanks.

Work through the checklist

The Set up checklist opens as soon as the swimmer is added. The top line counts your progress, like “Setup: 0 of 5 done.” Each open step has a button, and some have a Skip option.

The setup checklist for a new swimmer

  • Parents: Add parent opens a short form (first name, last name, email, phone). Add another parent adds a second row so you can add both at once. If the swimmer has siblings on the roster, check Also add to to link the parent to them too.
  • Family account: this is where invoices and job credits go. Click Create family account, or Join family account when a parent already has one. If the swimmer and the family are on different accounts, the step shows who would move and asks you to confirm. You can also choose Skip: Family keeps separate accounts. This step only shows when your team takes payments in Commit or runs a volunteer job obligation.
  • Program & billing: Add to program registers the swimmer in a current program. Use Skip: Not billed through Commit if you bill them some other way.
  • Billing started: shows for programs where you review registrations before billing. Start billing sets up their payment plan.
  • Training group: Pick a training group. If that group has subgroups, the step stays open with Pick a subgroup until they’re in one.
  • Parent login: shows once a parent is linked. Invite parents & send welcome sends the welcome email, which also invites parents to log in. Use Skip: Family won’t use the app if they won’t.
  • Welcome email: Send welcome, or Skip: No welcome needed. It counts as done on its own when the family already uses Commit on your team. After it goes out, the step shows the date and who got it, with Send again.

Swimmers 18 and over skip the Parents step, and the login step becomes Swimmer login with Invite & send welcome.

Check what they’ll get

Below the checklist, What they’ll get previews what the family sees once they log in:

  • Meets: upcoming meets they’re invited to, with sign-up deadlines. A meet you invite swimmers to by hand shows Manual invites and an Invite button. Entry deadline passed means it’s too late to sign up online.
  • Calendar and Practices: upcoming events (tagged Needs RSVP when they need an answer) and the practice schedule.
  • Bulletin boards they’ll see.
  • Volunteer jobs: each job obligation, shown as “X of Y credits.”

What they'll get: meets and calendar

Next to each job obligation, Adjust for this family opens that family on the obligation page so you can give them a different target. Once they have one, the link reads Edit family override.

Come back to it later

You can close the checklist at any time. It waits for you in three places:

  1. The swimmer’s page. A Setup: N of M done card sits at the top until every step is done or skipped. Click Show next to What they’ll get for the preview.

  2. The roster. Swimmers with open steps show a Needs setup tag next to their name. To list only them, open the roster filters (the button that shows your swimmer count) and check Needs setup under Setup.

  3. New registrants. On a program’s Registrants tab, new registrations have a sparkle icon and a Set up button. Set up opens the same checklist with Mark reviewed at the bottom. Marking someone reviewed (from the checklist, the sparkle, or the “new registrations to review” banner) keeps their welcome step open until you send or skip it.

Common questions

Does the checklist block anything? No. It’s a reminder list. The swimmer is on your roster the moment you click Add swimmer, whether or not you finish the steps.

Which swimmers show Needs setup? Any active swimmer with an open step. The welcome email step only applies to swimmers you add by hand and new registrants, so a swimmer from a bulk roster import never waits on it.

What does the welcome email look like? The subject reads like “Your Team Name - Welcome to the team, Ava!” It lists upcoming meets, events that need an RSVP, the practice schedule, volunteer jobs and bulletin boards. Parents who don’t have a login yet get a Get Started button that sets up their account, the same as an invite. Parents who already log in get Open Commit.

I need to send the welcome again. Click Send again on the Welcome email step. Parents without a login get a new setup link, and the old one stops working.

Someone in the family has no email. The step shows “No email:” with their name. Add an email on the swimmer’s Profile page, then come back to the checklist.
