Customer (billing health)
- Current: billing account in order, card on file. Nothing to do.
- No card: the account exists but has no payment method. Fine for pay-by-email teams; a problem for autocharge.
- Delinquent: the family has past-due invoices. See failed payments.
- No account: the swimmer isn’t on any billing account, so nothing about them can be billed. Add them to the right family under Payments → Customers.
- Multiple accounts: the swimmer sits on more than one billing account, usually a duplicate-registration leftover. Remove them from all but one; see customers and billing accounts.
Status (can they log in?)
This looks at the whole family: the swimmer’s own login and every linked parent.
- Connected: someone in the family has set a password. They can see meets, invoices, and schedules.
- Pending: an invite went out, nobody has finished creating the login. Resend from the swimmer’s profile if it’s been a while.
- Not connected: there’s an email on file but no invite accepted. The row shows an envelope button: send the invitation.
- No email: nobody in the family has an email on file. Add one on the swimmer’s Profile page first.
Staff have their own version of this on People → Staff: Connected, Invited (hasn’t set a password yet), Not invited yet, and No email.
The USAS columns
Shown only for USA Swimming clubs, filled by the SWIMS sync, and not editable by hand:
- USAS: a check when the swimmer’s USA Swimming registration is active.
- USAS Exp.: when their registration expires.
- USAS Type: their registration type.
If a swimmer looks wrong here, refresh the connection under Settings → Integrations rather than editing the roster.
Common questions
A family swears they have an account, but the row says Not connected. They likely registered on a different email than the one on file. Check the emails on the swimmer’s Profile page.
Does “Connected” mean the swimmer can log in? It means someone in the family can: the swimmer or a parent. Swimmers and parents each get their own logins.
Can I filter by these? Yes. The roster filters cover customer status, account status, and USA Swimming registration, and you can save the combination as a roster view.
